How to Set Up HubSpot Workflows for Instagram Leads

2026-01-175 min readConvotic Team

Why Automate Instagram Lead Follow-Up?

When leads come in through Instagram, manual follow-up is inconsistent. Some prospects get immediate attention, others wait days, and some never hear back at all.

HubSpot workflows solve this by automating the repetitive parts of lead management:

  • Instant lead assignment to the right team member
  • Automated email sequences based on lead source
  • Task creation for personalized follow-up
  • Lead scoring based on engagement

The result? Every Instagram lead gets consistent, timely attention without overwhelming your team.

Prerequisites

Before setting up workflows, you need:

  1. HubSpot Professional or Enterprise - Workflows require a paid plan
  2. Convotic connected - Instagram DMs syncing to HubSpot
  3. Contact properties configured - Fields to identify Instagram leads

Step 1: Identify Instagram Leads

First, you need a way to identify contacts that came from Instagram. Convotic automatically sets the lead source, but you can also create a custom property.

In HubSpot:

  1. Go to Settings → Properties
  2. Create a property called "Lead Source Channel"
  3. Add "Instagram DM" as an option

When Convotic syncs a contact, it will populate this field automatically.

Step 2: Create a Lead Assignment Workflow

Ensure Instagram leads get assigned to the right rep immediately.

Workflow Setup

  1. Go to Automation → Workflows
  2. Click "Create workflow" → "From scratch"
  3. Select "Contact-based" workflow

Enrollment Trigger

Set the trigger to:

  • Property: Lead Source Channel
  • Condition: is equal to "Instagram DM"

Actions

Add these actions in sequence:

  1. Set property value: Lead Status = "New"
  2. Rotate record to owner: Select your sales team
  3. Send internal notification: Alert the assigned owner
  4. Create task: "Follow up with Instagram lead within 1 hour"

Step 3: Build a Nurture Sequence

Not every Instagram lead is ready to buy immediately. Create a nurture sequence to stay top-of-mind.

Email 1: Immediate Welcome (Delay: 0)

Subject: "Thanks for reaching out on Instagram!"

Content:

  • Thank them for connecting
  • Brief intro to your company
  • Ask about their needs
  • Include calendar link for a call

Email 2: Value Add (Delay: 2 days)

Subject: "Thought you might find this helpful"

Content:

  • Share relevant blog post or resource
  • No hard sell, just value
  • Soft CTA to reply with questions

Email 3: Social Proof (Delay: 5 days)

Subject: "How [Customer] solved [Problem]"

Content:

  • Customer success story
  • Relevant to their likely pain points
  • CTA to learn more or schedule a demo

Email 4: Check-In (Delay: 10 days)

Subject: "Still interested in [Solution]?"

Content:

  • Acknowledge they might be busy
  • Offer to answer questions
  • Final CTA before sequence ends

Step 4: Lead Scoring for Instagram Leads

Prioritize hot leads with lead scoring. Add points for:

| Action | Points | |--------|--------| | Initiated Instagram DM | +10 | | Replied to follow-up email | +15 | | Clicked email link | +5 | | Visited pricing page | +20 | | Booked a meeting | +30 |

Create a workflow that notifies sales when a lead crosses your threshold (e.g., 50 points).

Step 5: Re-Engagement Workflow

For leads that go cold, create a re-engagement workflow:

Trigger

  • Last activity date is more than 30 days ago
  • Lead Source Channel is "Instagram DM"
  • Deal stage is not "Closed Won"

Actions

  1. Send re-engagement email
  2. Wait 7 days
  3. If no engagement: Send final follow-up
  4. If still no engagement: Update status to "Unresponsive"

Best Practices

Don't Over-Automate

Instagram leads expect personal interaction. Use automation for logistics (assignment, reminders) but keep actual responses human.

Segment by Intent

Not all Instagram DMs are equal. A "How much does this cost?" message has higher intent than "Cool product!" Adjust your workflow based on initial message content.

Monitor and Iterate

Review workflow performance monthly:

  • Open rates on automated emails
  • Response rates
  • Time to first response
  • Conversion rates by lead source

Adjust subject lines, timing, and content based on data.

Maintain Brand Voice

Automated emails should sound like your brand, not a robot. Use the same tone you'd use in an Instagram DM.

Putting It All Together

With these workflows in place, here's what happens when a lead DMs you on Instagram:

  1. Convotic syncs the message to HubSpot instantly
  2. Contact is created with "Instagram DM" source
  3. Workflow assigns lead to available rep
  4. Rep receives Slack/email notification
  5. Task is created for follow-up
  6. Nurture sequence begins automatically
  7. Lead scoring tracks engagement
  8. Re-engagement triggers if lead goes cold

All of this happens without manual intervention, ensuring every Instagram lead gets proper attention.
